Mail merge from a CSV file, sent from your own Gmail
Updated
SendSuite sends one personalized email per row of a CSV file, from your own Gmail address. A file can have up to 1,000 rows, SendSuite sends up to 500 emails in any 24 hours, and each person gets their own email with their details filled in.
How to send a mail merge from a CSV file
- Write the template. Write the email once and add a field wherever a detail changes, such as a name, a date or an amount. You can also start from a ready-made template.
- Upload the list. On Send, choose From a spreadsheet. Drop or choose a CSV file, or paste rows from Google Sheets or Excel. “Download a blank CSV” gives you a file with the template’s columns in place.
- Map the columns. Columns named like your fields match on their own. For any field that didn’t match, pick its column from the list.
- Review the rows. SendSuite counts the rows ready to send and lists the rows to fix, with the problem in each, such as a missing address or a date it can’t read. Open any ready row to see its email as it will arrive.
- Send. SendSuite sends one email per row, 10 at a time, and shows the progress. You can pause, resume or cancel the run, and download the rows that weren’t sent as a CSV.
How columns match your fields
SendSuite compares column names with your field names, ignoring case, spaces and punctuation, so “E-mail Address”, “email_address” and “EmailAddress” count as the same name. Each column fills one field at most, and a column that matches nothing stays out of the email.
The email address comes from the first column named Email, E-mail, Email address, To or Recipient. If there is none, SendSuite uses the first column with “email” in its name that no field claims, and otherwise asks you to pick one.
A cell can hold up to 1,000 characters. A value for a choice field has to be one of its options, written the same way, and a required field left empty puts the row on the list to fix.
Dates and times in the file
SendSuite reads dates in six formats: YYYY-MM-DD, MM/DD/YYYY, MM-DD-YYYY, DD/MM/YYYY, DD-MM-YYYY and YYYYMMDD. A date that fits both orders, such as 05/10/2026, is read month first, as May 10.
Times can be written as 14:30, 14:30:00, 2:30 PM or 2:30PM. Each date and time then prints in the format its field is set to, so 2026-11-09 can arrive as November 9, 2026.
Limits
A CSV file can have up to 1,000 rows, and SendSuite sends up to 500 emails in any 24 hours, 10 at a time. The emails also count toward Gmail’s own sending limits.
| Limit | Amount |
|---|---|
| Emails in any 24 hours | 500 |
| Rows in one CSV file | 1,000 |
| Templates per account | 50 |
| Fields per template | 30 |
| Size of one attachment | 4 MB |
| Attachments on one email | 10 files, 10 MB in total |
| Attachment storage | 25 MB |
What happens to your list
SendSuite reads the file in your browser. When you send, each row’s address and values go to SendSuite and to Gmail to build and send that one email. SendSuite doesn’t store the addresses you send to or the content of the emails. Activity shows how many went out each day, which template sent them and whether any failed.
More answers are in Questions and answers, and the Chrome extension sends the same templates from Chrome’s side panel, beside any page.
